AsphaltHQ (“AsphaltHQ,” “we,” “us,” or “our”) provides software and related services for paving contractors and other businesses. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit asphalt-hq.com, create or use an AsphaltHQ account, communicate with us, or otherwise use our services (collectively, the “Services”).
1. Information We Collect
Information you provide to us
We may collect information you provide directly, including your name, business name, email address, phone number, account credentials, company settings, pricing defaults, billing and subscription information, support requests, contact-form messages, and other information you choose to provide.
When you use AsphaltHQ for your business, you may also enter or upload information relating to your customers, jobs, employees or crew members, estimates, measurements, proposals, signatures, invoices, payments, change orders, job costs, photos, worksheets, notes, work orders, labor or crew hours, and related business records.
Payment information
Subscription payments are processed by third-party payment processors such as Stripe. AsphaltHQ does not store full payment-card numbers. Payment processors may collect payment-card details, billing addresses, and other information needed to process transactions, subject to their own privacy policies.
Information collected automatically
When you use the Services, we and our service providers may automatically receive technical and usage information such as IP address, browser and device type, operating system, pages or features used, dates and times of access, referring pages, security events, crash or diagnostic information, and similar data. We may use cookies, local storage, and comparable technologies as needed to operate, secure, remember settings for, and improve the Services. If we add optional analytics or advertising technologies, we will update this policy and, where required, provide appropriate choices or notices.
2. How We Use Information
We may use information to provide, operate, maintain, secure, and improve AsphaltHQ; create and manage accounts and company workspaces; process subscriptions and payments; provide estimates, invoices, signatures, change orders, job-cost, crew-hours, reporting, messaging, and other product functionality; provide customer support; respond to inquiries; send transactional or service-related communications; prevent fraud, spam, abuse, and security incidents; troubleshoot and analyze product performance; comply with law; and enforce our agreements.
3. AI-Assisted Features
AsphaltHQ may offer AI-assisted features, including tools that help interpret worksheets or field information, fill job details, draft or revise scope language, organize information, or assist with other contractor workflows. When you choose to use an AI feature, the information you submit to that feature may be processed by service providers that help us provide the AI functionality. We use such information to return the requested result, operate and secure the feature, and improve the Services as permitted by our agreements and applicable law.
You are responsible for reviewing AI-assisted outputs before relying on them. You should not submit sensitive personal information to an AI feature unless it is reasonably necessary for the business task and you are authorized to provide it.
4. Information About Your Customers and Crew
Business customers may use AsphaltHQ to store or process information about their own customers, employees, crew members, subcontractors, and other third parties. In those situations, the AsphaltHQ customer is responsible for determining what information is entered into the Services and for having an appropriate legal basis or authorization to collect and use that information. AsphaltHQ processes that information to provide the Services to the business customer and as otherwise described in this Privacy Policy and our agreements.
5. How We Share Information
We do not sell personal information to advertisers. We may disclose information to service providers and vendors that help us host, secure, operate, support, communicate through, analyze, or process payments for the Services; to a customer’s authorized users and recipients when the customer directs us to share information; in connection with a merger, financing, acquisition, sale, reorganization, or similar business transaction; when required by law, legal process, or government request; or when reasonably necessary to protect rights, safety, security, and the integrity of the Services.
Examples of service providers may include cloud hosting and database providers, payment processors, email and communications providers, security and anti-abuse services, and providers supporting AI-assisted features.
6. Communications
We may send account, security, billing, product, and other service-related communications. If we send optional marketing communications, you may opt out using the instructions in those messages. You may still receive non-marketing communications that are necessary to operate your account or provide the Services.
7. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain business and transaction records, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, and protect the Services. Retention periods may vary depending on the type of information, account status, legal requirements, and the purpose for which the information was collected.
8. Data Security
We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for controlling access to your AsphaltHQ workspace.
9. Your Choices and Rights
You may review or update certain account and company information through the Services. You may also contact us to request access to, correction of, or deletion of personal information that we control, subject to applicable law, identity verification, contractual obligations, and legitimate retention requirements. If your information was entered into AsphaltHQ by a paving contractor or other business using our Services, you should generally direct your request to that business first because it controls the underlying business record.
Depending on where you live, applicable privacy laws may provide additional rights. We will honor verified requests to the extent required by applicable law.
10. Children’s Privacy
The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through public account registration. If we learn that we have collected such information in a manner that requires deletion, we will take appropriate steps to remove it.
11. United States Operations and Data Transfers
AsphaltHQ is operated from the United States. Information may be processed and stored in the United States and other locations where our service providers operate. Those locations may have different data-protection laws than your jurisdiction.
12. Third-Party Links and Services
The Services may contain links to or integrations with third-party websites and services. Their privacy practices are governed by their own policies, and this Privacy Policy does not apply to information handled solely by those third parties.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and may provide additional notice through the Services or other appropriate means.
